Obowiązki:
  • You will provide direct operational support for staff, partner organizations, and funders, as well as assist program staff with indirect support for program applicants and participants. You will be responsible for training users and assisting with drafting user instructions
  • You will assist the department manager with conceptualizing new uses and features for AIS and crafting detailed instructions and workflows of those ideas for the AIS software development contractor. As part of these activities, you will be encouraged to learn, improve your skills, and grow professionally. You will collaborate, share ideas, and learn from colleagues from around the world
  • Program Support Responsibilities (30%)
  • - Provide timely operational support and troubleshooting for staff, partner organizations, and funders, which includes assisting staff who provide support to program applicants and participants
  • - Provide program staff with data, reports, and documents they need from AIS to administer programs, which includes preparation and analysis of data using tools such as Microsoft Excel
  • - Assist with creating AIS user accounts and manage access control in accordance with AIS and American Councils’ data security and privacy policies
  • - Monitor and address messages received via the department’s messaging services in a timely manner
  • System Support Responsibilities (30%)
  • - Assist with the administration of applicant records, which includes transferring online form data and documents; cleansing, normalizing, and importing historical data from Excel spreadsheets; and identifying data-entry anomalies in online forms
  • - Assist with the administration of program profiles in AIS
  • - Maintain security and confidentiality of applicants’ personally identifiable information and other protected data
  • - Assist with data standardization and normalization projects
  • - Assist with drafting system documentation
  • - Assist with drafting user instructions
  • Quality Assurance Responsibilities (30%)
  • - Assist with proofreading and testing online forms prior to release, which includes confirming content is accurate, accessible, and complete, confirming the program’s requested updates have been made, and ensuring that all data validation and transfer mechanisms are configured and working correctly
  • - Assist with proofreading bulk email templates for accuracy, accessibility, and completeness
  • - Assist with review and testing of AIS feature releases for completeness, usability, and accessibility, which can include replicating and articulating bug reports for the AIS software development contractor
  • - Assist with drafting, implementation, and maintenance of quality-assurance protocols
  • Other Operational Tasks and Responsibilities (10%)
  • - Assist with training staff, partner organizations, and funders in the use of AIS
  • - Contribute to analysis of and recommendations for operational standardization across all aspects of AIS, such as for online forms structure, content, and terminology
  • - Collaborate with AIS colleagues on improvements to the AIS user interface, making suggestions for additional AIS features, and helping to ensure compliance with web usability and accessibility standards

Obowiązki:
  • You will look after a portfolio of American Councils program clients. Your primary role will be to digitize and automate the program participant lifecycle via AIS. You will use AIS to design, build, and operate online forms for American Councils’ programs
  • You will assist the department director with conceptualizing new uses and features for AIS and crafting detailed instructions and workflows of those ideas for the AIS software development contractor.   • You will collaborate, share ideas, and learn from colleagues from around the world. You will also provide them with AIS training and operational support
  • Forms Development Responsibilities (65%)
  • o Build and maintain online program application, recommendation, evaluation, and other web forms using AIS
  • o Integrate paper forms and offline processes into AIS
  • o Coordinate online forms testing by staff
  • o Troubleshoot and fix live form issues quickly and efficiently
  • o Transfer online form data and documents to AIS to create new or update existing AIS applicant records, which includes identifying data-entry anomalies in online forms
  • o Track and communicate project timeframes, status, and issues
  • o Maintain security and confidentiality of personally identifiable information and other protected data
  • Applicant Process Analysis Responsibilities (15%)
  • o Translate program requirements into well-designed and accessible data and document collection, distribution, and storage solutions
  • o Identify opportunities to develop automated workflows
  • o Administer application, evaluation, selection, and registration processes in AIS
  • o Create AIS Forms user accounts and manage access control in accordance with AIS and American Councils’ data security and privacy policies
  • o Collaborate with program staff to ensure solutions are optimally designed for their respective audiences and meet programs’ needs
  • Other Operational Tasks and Responsibilities (20%)
  • o Review and test each AIS feature release for completeness and usability
  • o Replicate system bugs and articulate bug reports for the AIS software development contractor
  • o Assist program staff with mass communications to applicants, recommenders, and others via AIS
  • o Provide program staff with data, reports, and documents they need from AIS to administer programs, to include preparation and analysis of data using tools such as Microsoft Excel
  • o Provide AIS training and operational support for AIS staff, program staff, partner organizations, and others
  • o Assist with drafting system documentation and user instructions
  • o Troubleshoot user issues
  • o Identify opportunities to improve the applicability, usability, and accessibility of AIS
  • o Participate in and encourage a collegial, helpful, results-driven working environment
